The National Association of Professional Employer Organizations (NAPEO) is seeking a detail-oriented, experienced senior accountant to join our team in Alexandria, VA. As the  leading advocate for the professional employer organization (PEO) industry and the  200,000 small businesses they support, this position (in collaboration with the VP, finance)  will be responsible for executing the month-end close process, reconciling financial  accounts, preparing workpapers and supporting tax filing activities and the annual audit.  The ideal candidate should have strong non-profit accounting skills, experience with key  accounting software (Quick Books Online, Asana and Excel) and the ability to manage  multiple tasks in a fast-paced environment.

This position requires an in-office presence at NAPEO’s headquarters in historic Old Town  Alexandria, VA and reports to the VP Finance.

Key Responsibilities

Month-End Close: 

  • Lead and manage the monthly close process, ensuring all activities are completed  accurately and on time using Asana.
  • Download and review monthly bank statements, ensuring all transactions are  accurately recorded.
  • Record cash receipts in MemberSuite
    •  Create and post batches daily.
    • Ensure timely processing of payments and credits/refunds.
    • Reconcile membership dues from dues product reports.
    • Reconcile advertising/sponsorship sales with sales staff.
    • Run/review AR & credit detail report.
    • Import transactional data from BILL and MemberSuite (CRM) to Quick Books  Online (QBO) using excel import.
    • Ensure proper setup of all products sold by NAPEO and NAPEO PAC. o Generate requested financial reports from MemberSuite.
    • Perform month-end and year-end closing processes for NAPEO and NAPEO  PAC.
  • Record payroll entries
  • Reconcile all statement of financial position accounts, including:
    • Bank
    • Accounts Receivable
    • Prepaid Expenses
    • Fixed Assets
    • Investments
    • Accounts Payable
    • Accrued Expenses
    • Deferred Revenue
    • Note Payable
  • Prepare workpapers for all monthly account reconciliations and ensure they are  thorough and accurate.

Financial Reporting: 

  • Prepare monthly financial statements in accordance with US GAAP.
  • Review the Statement of Activities to identify and explain budget variances.
  • Generate and analyze key reports to ensure the financial health of the organization. 

Audit Support: 

  • Support audit preparation by providing timely and accurate documents and  workpapers, including:
    • Bank and investment confirmations
    • Journal entry support
    • Account reconciliations
    • Serve as a point of contact for auditors, addressing requests and ensuring all  required documentation is provided.

Tax Preparation: 

  • Assist in the preparation of tax filings, including Form 990, 990T and VA500, ensuring  that workpapers are accurate and organized for the outside accountant.
  • Prepare personal property tax filings and manage related documentation.
  • Coordinate and prepare 1099 forms for vendors and contractors.

General Accounting: 

  • Record journal entries and maintain accurate general ledger records in QBO.
  • Reconcile data between the association management software (AMS) and QBO, ensuring consistency across all financial platforms. 

Tools & Systems: 

  • Use tools to streamline workflows and enhance financial reporting processes  including:
    • QBO Advanced
    • BILL
    • Reach Reporting
    • Asana
  • Utilize Excel for data analysis, reconciliation and reporting.

Qualifications & Experience

  • Bachelor’s degree in Accounting, Finance or a related field. 
  • Minimum of 5 years of experience in accounting or finance, with at least 2 years in a  senior accounting role. 
  • Strong experience with month-end close, account reconciliations and financial  reporting. 
  • Previous experience with tax preparation and audit support. 
  • Experience using QBO and other accounting software tools.
  • Familiarity with Asana for task and project management.

Technical Skills

  • Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP, and advanced  formulas). 
  • Experience with BILL and Reach Reporting is a plus. 

Other Skills

  • Excellent written and verbal communication skills, with a strong command of the  English language. 
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.

Certifications

CPA or equivalent certification preferred

Salary Range

$85,000 – $105,000

The coordinator, events & member engagement will support NAPEO’s  strategic plan by providing essential customer service in the events, education and membership  areas to members and prospects, providing essential support to NAPEO’s educational events,  member engagement and customer support functions across all membership projects, events,  sponsors and exhibitors. NAPEO is a hybrid work environment with in-office days Tuesday,  Wednesday and Thursday.

Position Requirements

Excellent written and verbal communication skills. Solid customer  service philosophy and attention to detail a must. Ability to prioritize multiple projects, work in a  fast-paced environment and meet deadlines. Interpersonal skills to work effectively with  colleagues and members. A high degree of responsibility, initiative and professionalism. Some  travel required. Proficiency with Microsoft Office products, including Word, Outlook, and Excel.  Bachelor’s degree. Experience with association membership database and writing queries a plus.  One to two years’ experience in association events or membership support preferred. This  position may require sitting for long periods of time, moving around frequently and standing for  long periods on-site at events and, on occasion, moving conference materials and supplies  weighing up to 30 pounds. 

Position Responsibilities

Event Services 

  • Provide essential support to events team by coordinating communications, rooming lists,  coding of conference invoices and other duties as assigned. 
  • Lead coordination with outsourced registration vendor for events where onsite badge  printing is outsourced. 
  • Lead registration onsite for all events that have a registration desk, with support from  events and membership team. Meet needs of participants with the highest level of  customer service.  
  • In coordination with the office manager, prepare and ship materials for conferences and  seminars. Inventory contents and track number of boxes shipped and received by facility. 
  • Work with events team to collect, organize, collate, print and ship proceedings and other printed materials for all in-person events.  
  • Staff and lead sourcing, maintaining and implementation of mobile app for conferences.
  • Update events pages of the association website, as requested.
  • Provide support on virtual events, including customer service and as needed, implementation of third party systems.
  • Prepare online evaluation forms for events and compile resulting responses.
  • Serve as point of contact for guest room management for all events to include tracking  rooming lists, cross-referencing registration lists to rooming lists and contacting those  attendees that may need to register or reserve a room, fielding all questions regarding hotel  reservations, working directly with hotel’s reservation manager for each event, and  managing a waitlist, if needed. 
  • Support Annual Conference Planning Committee and other programming committees and  call for papers process, including helping to compile list of submissions for the committee,  tallying committee responses, and taking notes on all committee calls.

Board of Directors Support

  • Serve as primary point of contact to NAPEO Leadership for board of directors’ meetings  logistics and RSVPs.
  • Support director, member engagement on quarterly board book production online.
  • Support manager, member engagement on Board of Directors nominations process to include but not limited to nominee profiles.

Customer Service  

  • Serve as primary customer contact for existing and potential members on member  engagement, events and education matters through professional and courteous phone  and email interactions.  
  • Address phone and email inquiries regarding NAPEO membership, conferences and  services, as well as basic PEO industry information.  
  • Primary lead on responding to info@napeo.org and meetings@napeo.org email inboxes.
  • Backup the office manager on answering the main NAPEO phone number.
  • Respond to member requests in a timely fashion. Coordinate and own resolution of issues or concerns. 
  • Develop standard responses to facilitate email and phone response to frequent requests.
  • Escalate issues to appropriate supervisory team member when needed.
  • Serve as primary point of contact for changes in member database.

Sponsorship Administration 

  • Order and/or track and execute sponsorship deliverables for all events and ensure all sponsoring companies have a representative registered for the event, if registration is included. 
  • Coordinate sponsor materials onsite for all events. 

Member Engagement 

  • Provide support on member engagement activities, including member visits by staff.
  • Assist with the compilation of data to support measuring or qualifying membership engagement.
  • Update membership pages of the website, as requested.
  • Assist with member company recognition efforts, such as ordering and sending recognition  rewards for company milestones, key promotions, etc. Assist in monitoring the NAPEO Forum on a daily basis to ensure that the acceptable use  policies are being observed.

Financial Administration

  • Assist with association accounts receivable by sending reminders to companies with  balances due and processing payments.  
  • Assist with invoicing for membership and medallion partner accounts.
  • Serve as a backup for month-end and year-end closing processes.  

Association Teamwork

  • Maintain full knowledge of NAPEO strategic plan and current association programs,  services, publications and membership benefits.  
  • Educate NAPEO staff on events and education promotions and services.
  • Identify and maintain favorable working relationships with Executive Committee, Board of  Directors, Leadership Council chairs, committee chairs, staff and service providers.
  • Support the overall goals and objectives of the association’s strategic plan through  additional responsibilities. 
  • Be aware of, understand and follow the association’s policies and procedures.
