The National Association of Professional Employer Organizations (NAPEO) is seeking a detail-oriented, experienced senior accountant to join our team in Alexandria, VA. As the leading advocate for the professional employer organization (PEO) industry and the 200,000 small businesses they support, this position (in collaboration with the VP, finance) will be responsible for executing the month-end close process, reconciling financial accounts, preparing workpapers and supporting tax filing activities and the annual audit. The ideal candidate should have strong non-profit accounting skills, experience with key accounting software (Quick Books Online, Asana and Excel) and the ability to manage multiple tasks in a fast-paced environment.
This position requires an in-office presence at NAPEO’s headquarters in historic Old Town Alexandria, VA and reports to the VP Finance.
Key Responsibilities
Month-End Close:
- Lead and manage the monthly close process, ensuring all activities are completed accurately and on time using Asana.
- Download and review monthly bank statements, ensuring all transactions are accurately recorded.
- Record cash receipts in MemberSuite
- Create and post batches daily.
- Ensure timely processing of payments and credits/refunds.
- Reconcile membership dues from dues product reports.
- Reconcile advertising/sponsorship sales with sales staff.
- Run/review AR & credit detail report.
- Import transactional data from BILL and MemberSuite (CRM) to Quick Books Online (QBO) using excel import.
- Ensure proper setup of all products sold by NAPEO and NAPEO PAC. o Generate requested financial reports from MemberSuite.
- Perform month-end and year-end closing processes for NAPEO and NAPEO PAC.
- Record payroll entries
- Reconcile all statement of financial position accounts, including:
- Bank
- Accounts Receivable
- Prepaid Expenses
- Fixed Assets
- Investments
- Accounts Payable
- Accrued Expenses
- Deferred Revenue
- Note Payable
- Prepare workpapers for all monthly account reconciliations and ensure they are thorough and accurate.
Financial Reporting:
- Prepare monthly financial statements in accordance with US GAAP.
- Review the Statement of Activities to identify and explain budget variances.
- Generate and analyze key reports to ensure the financial health of the organization.
Audit Support:
- Support audit preparation by providing timely and accurate documents and workpapers, including:
- Bank and investment confirmations
- Journal entry support
- Account reconciliations
- Serve as a point of contact for auditors, addressing requests and ensuring all required documentation is provided.
Tax Preparation:
- Assist in the preparation of tax filings, including Form 990, 990T and VA500, ensuring that workpapers are accurate and organized for the outside accountant.
- Prepare personal property tax filings and manage related documentation.
- Coordinate and prepare 1099 forms for vendors and contractors.
General Accounting:
- Record journal entries and maintain accurate general ledger records in QBO.
- Reconcile data between the association management software (AMS) and QBO, ensuring consistency across all financial platforms.
Tools & Systems:
- Use tools to streamline workflows and enhance financial reporting processes including:
- QBO Advanced
- BILL
- Reach Reporting
- Asana
- Utilize Excel for data analysis, reconciliation and reporting.
Qualifications & Experience
- Bachelor’s degree in Accounting, Finance or a related field.
- Minimum of 5 years of experience in accounting or finance, with at least 2 years in a senior accounting role.
- Strong experience with month-end close, account reconciliations and financial reporting.
- Previous experience with tax preparation and audit support.
- Experience using QBO and other accounting software tools.
- Familiarity with Asana for task and project management.
Technical Skills
- Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP, and advanced formulas).
- Experience with BILL and Reach Reporting is a plus.
Other Skills
- Excellent written and verbal communication skills, with a strong command of the English language.
- Ability to manage multiple priorities in a deadline-driven environment.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
Certifications
CPA or equivalent certification preferred
Salary Range
$85,000 – $105,000

The manager, events & education will support NAPEO’s strategic plan by facilitating the delivery of education & networking events for the PEO industry. The position will be the lead, to include program development, logistics, and all facets of the program for certain educational events, which could include leadership councils, specialty seminars, and/or leadership events. The position is also the lead on the association’s webinar series and virtual education including program development, marketing, and execution of webinars and other virtual events.
Position Requirements
Excellent written and verbal communication skills. Solid customer service philosophy and attention to detail. Ability to prioritize multiple projects, work in a fast-paced environment, and meet deadlines. Interpersonal skills to work effectively with others within the organization and the association’s members. Proficiency with Microsoft Office products, including Word, Outlook, and Excel. Experience with association membership database and reports. Bachelor’s degree. Six to ten years of meeting planning experience (in an association setting preferred). Ability to stand on feet for long period of times for multiple days in a row and be able to lift light to medium boxes while packing and onsite at events.
Position Responsibilities
Site Selection & Contract Negotiation
- Oversee site selection process for assigned meetings (currently Federal Government Affairs Committee Meeting and Operations Workshop, the 1st and 4th quarter board meetings) and any other pop-up meetings, special events, or seminars that may arise.
- Negotiate these hotel contracts and review with Vice President, Events & Member Services and final review with COO. With Vice President, Events & Member Services approval, recommend hotel contracts for President/CEO signature and brief President/CEO on key details and financial liabilities associated with all contracts.
- Maintain knowledge of current hotel contract and negotiation trends. Maintain network of national hotel and regional sales contacts.
- Maintain awareness of all NAPEO and related industry events to minimize scheduling conflicts and avoid overlapping educational agendas/programming content.
Logistics
- Prepare meeting resumes for assigned meetings, special events, or seminars including, but not limited to food and beverage selection, guarantees, audiovisual requirements and room set-ups. Employ most effective methodology for containing costs and managing budgets while delivering quality member/guest experiences.
- Input all assigned events and webinars into association database and run reports as necessary for these meetings from the database. Also maintain a working knowledge of all meeting functions in association database.
- Maintain and update the assigned event pages of the NAPEO website, and assist with other conference pages, as needed.
Marketing/Promotions
- Plan and implement marketing and promotion for all assigned events and webinars that are geared to target audiences and maximize content, form, and function. Execute most efficient, cost-effective, and high impact meeting promotions using NAPEO publications, Web site, direct mail, and email capabilities.
- Work with government affairs department, leadership council chairs, committees and/or working groups to build assigned events agendas.
- Invite all speakers to include PEO industry and/or legislative speakers to speak at assigned events.
- Send speaker confirmations, reminders, and RSVPs for travel and audiovisual needs, as needed for assigned events. As appropriate, make travel arrangements for speakers within budget allowances.
- Perform post-event follow-up with speakers, including thank you notes, evaluation summaries, expense reimbursements, and speaker gifts, as necessary.
- With assistance of administrative staff, compile and format materials for assigned events. Work with speakers and fellow staff to ensure papers are collected, screened and formatted on deadline. Coordinate production and shipment of course materials and registration supplies for assigned events.
Finance
- Oversee development and tracking of budgets related to assigned events, webinars, and any other meetings, special events, or seminars position is working on.
PEO Advocacy Day
- Work in coordination with NAPEO’s Federal Government Affairs Department to secure location for PEO Advocacy Day.
- Work on logistics for the event to include food & beverage selections, room set-up and any other details pertaining to the event.
- Secure and be lead on transportation to/from PEO Advocacy Day.
- Work in coordination with MarComm team to weave in National PEO Week into the PEO Advocacy Day.
NextGen
- Staff liaison and co-lead for NextGen Working Group
- Point person and lead on programming for NextGen Leadership Workshop
- Coordinate all activities of NextGen get togethers at NAPEO events.
- Coordinate and execute NextGen virtual events throughout the year.
- Coordinate and execute NextGen mixer at Annual Conference & Marketplace.
Association Teamwork
- Maintain full knowledge of current association programs, services, publications, and membership benefits and dues structure.
- Educate members of NAPEO staff on meetings promotions and services.
- Identify and maintain favorable working relationships with Executive Committee, Board of Directors, Leadership Council chairs, committee chairs, staff and service providers.
- Provide staff support at NAPEO functions and with NAPEO activities, as appropriate, and as requested by the senior management team.
- Be aware of, understand and follow the association’s policies and procedures.
